Setting Up Your Email in Outlook, Thunderbird & Mobile Devices

This guide will help you configure your email account on desktop and mobile mail clients such as Outlook, Thunderbird, Apple Mail, and Android Mail.

Recommended Setup (SSL)

We recommend using IMAP rather than POP3, as IMAP keeps all your folders synced across every device you use (desktop, phone, webmail) and ensures our backups run correctly on your mailbox.

Important: You must enable SMTP Authentication in your email client — using the same username and password as your incoming mail — or you will not be able to send emails.

Username: Your full email address (e.g. you@yourdomain.com) Password: Your mailbox password


Step-by-Step: Adding Your Account in Outlook

  1. Open Outlook and go to File > Add Account
  2. Enter your full email address and select Manual setup or additional server types
  3. Choose POP or IMAP
  4. Enter the settings below:
    • Account Type: IMAP
    • Incoming mail server: imap.emailarray.com (Port 993, SSL)
    • Outgoing mail server: smtp.emailarray.com (Port 465, SSL)
    • Username: your full email address
    • Password: your mailbox password
  5. Click More Settings > Outgoing Server and tick My outgoing server (SMTP) requires authentication
  6. Under the Advanced tab, confirm the ports and encryption match the table above
  7. Click Next, then Finish

The same settings apply to Thunderbird, Apple Mail, and mobile devices (iOS/Android) — just enter them in the equivalent manual setup screens.


Alternative Ports (If SSL Port Is Blocked by Your Network)

If your network or firewall blocks the standard SSL ports above, you can use these alternatives:

Notes

  • SMTP Authentication must always be enabled, regardless of which port/encryption combination you use — otherwise outgoing mail will fail.
  • IMAP is strongly recommended over POP3. IMAP syncs all folders across every device and ensures your mail is included in our backups. POP3 typically downloads mail to a single device and does not keep a synced copy on the server.
  • If you're unsure which settings to use, stick to the Recommended Setup (SSL) table at the top of this guide — it works for the vast majority of networks and devices.
